EO Melbourne Incorporated (Incorporation No. A0035196X, ABN 34 705 238 304) (“EO Melbourne”, “we”, “our”, “us”) respects your privacy and handles personal information in accordance with the Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs) and the Spam Act 2003 (Cth).

1 Scope

This policy explains how we collect, use, disclose and safeguard personal information—information or an opinion about you that identifies you or could reasonably identify you. It applies to data we collect through all channels, including websites, event registrations, emails, phone calls and in-person interactions.

2 Anonymity and pseudonymity

Where lawful and practicable (for example, general enquiries) you may interact with us anonymously or under a pseudonym. For most registrations and payments we need your real details; without them we may be unable to confirm your place or process your request.

3 What we collect

We collect only what we need, which may include:

  • Identity – name, gender, organisation name, role, date of birth

  • Organisation eligibility – annual revenue bracket, number of employees

  • Contact – postal address, email, phone, social-media handles

  • Event details – dietary or accessibility requirements, emergency contact, attendance history

  • Payment – limited transaction data; we do not store full card numbers

  • Engagement – membership status, survey responses, feedback

  • Online data – IP address, device type, pages viewed, cookies and analytics logs

We will ask for your explicit consent before collecting any sensitive information (e.g. health or accessibility data).

4 How we collect information

  1. Directly from you – when you complete forms, register for events, email or phone us.

  2. Automatically – via cookies and similar technologies on our websites.

  3. From third parties – for example, the EO APAC regional office or other EO chapters and related entities where you have agreed to share your details.

5 Why we collect and use information

We use your information to:

  • administer events, programmes and services you request;

  • process payments and issue invoices;

  • send EO-related news, event invitations and surveys (you may opt out at any time);

  • improve our offerings through analytics and feedback;

  • comply with legal and regulatory requirements.

Marketing emails comply with the Spam Act 2003 and always contain an “unsubscribe” link.

6 Disclosure

We may disclose personal information to:

  • Entrepreneurs’ Organization—including the EO APAC regional office, other EO chapters and any related EO entities that support our events and member services;

  • trusted service providers (IT support, event logistics, payment processors, marketing and analytics partners);

  • professional advisers, insurers, regulators or law-enforcement agencies where required or authorised by law.

Recipients receive only what they need and must keep it confidential.

7 Overseas transfers

Some recipients are based overseas, including in Singapore and the United States. We take reasonable steps—such as contractual obligations, encryption in transit and audits—to ensure they handle your information in a manner consistent with the APPs.

8 Data quality, security and retention

We keep records accurate and up to date, and protect them through:

  • secure servers in ISO-certified data centres;

  • role-based access controls and multi-factor authentication;

  • regular security testing and staff training.

We retain information only as long as needed for our functions or as required by law, then securely destroy or de-identify it (typically within seven years for financial records).

9 Access and correction

To request access to, or correction of, your personal information, email us at the address below. We will respond within 30 days and may verify your identity. A reasonable fee may apply for extensive searches.

10 Cookies and analytics

Our websites use cookies and similar tools to recognise your browser, enhance performance and analyse traffic. You may disable cookies in your browser, though some features may not work as intended.

11 Notifiable data breaches

If a data breach is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner, as required under the Notifiable Data Breaches scheme.

12 Changes to this policy

We review this policy regularly and may update it to reflect changes in our practices or the law. The latest version will always appear on our website and show the effective date.

13 Complaints

If you have a privacy concern, please contact us. We will investigate and respond within 30 days. If you remain dissatisfied, you may complain to the Office of the Australian Information Commissioner (oaic.gov.au).
